Job Responsibilities:

  1. Assist with the four-year Overseas Chinese Students (International Students) program.
  2. Revise and consolidate regulations/SOPs, including internal control data compilation.
  3. Complete submissions for the university’s basic information database.
  4. Submit regular performance evaluations for faculty members.
  5. Compile monthly KPI reports for the Higher Education Sprout Project.
  6. Consolidate data for the International Performance Platform.
  7. Serve as the registration desk for primary-level departments.
  8. Coordinate mid- to long-term plans, evaluations (self-evaluation, internal, and external evaluations), internal control, financial planning reports, and data compilation for various departments in the Office of International Affairs.
  9. Compile and upload proposal data for various meetings such as administrative meetings, university meetings, development meetings, and foundation meetings.
  10. Assist colleagues with adjustments to official documents and various paperwork (Adjust operational procedures, with each secondary department having a designated consolidation person responsible for preliminary data collection; the registration desk then provides the consolidated data to Winnie for final compilation. Follow-up data submissions are tracked only through the secondary department’s registration desk).
  11. Handle system applications, approvals, and inventory processing for asset disposal.
  12. Prepare the annual budget and allocate foreign travel expenses (including foreign travel budgets for the Sprout Project).
  13. Support administrative tasks for the Japan Research Center and the Yunus Center (including documentation and budget reimbursements).
  14. Organize and approve annual meetings and reports related to language proficiency allowances.
  15. Consolidate and process annual budgets and reimbursements for student scholarships in the Office of International Affairs (including general international master’s and PhD programs, and New Southbound programs).
  16. Prepare annual budgets and reimbursement for Overseas Chinese Students program scholarships and process subsidy reimbursements from the Overseas Community Affairs Council.
  17. Process tuition fee reductions and reimbursements.
  18. Assist the Director of International Affairs with daily schedules.
  19. Assist the Director with routine reimbursements across the university.
  20. Manage budget control and reimbursements within the Office of International Affairs.
  21. Handle the compilation, reception, and distribution of official documents for the Office of International Affairs.
  22. Record minutes for Office of International Affairs meetings.
  23. Coordinate and liaise between departments within the Office of International Affairs.
  24. Handle temporary assignments from the Director and Deputy Director.
  25. Arrange matters related to the entry of international students (including budget approvals for entry expenses and arranging staff schedules for airport pickups).
  26. Oversee recruitment tasks (approvals, announcements, resume collection and organization, interview notifications, interview meetings, approval of results, and notifying selected candidates).
  27. Track and report admissions data for recruitment seasons (including special programs and international master’s and PhD programs).
  28. Assist with online inquiries from sponsors or students in the four-year Overseas Chinese Students program.

  3. Process scholarship disbursements and tuition fee waivers for the New Southbound Industry-Academia Collaboration International Program.

  4. Submit monthly project work reports and budget execution rates to the university-level project office for management review meetings (Note: low execution rates will require explanations).

  5. Perform tasks assigned by supervisors.

  4. Conduct knowledge and skill workshops on international affairs regulations (e.g., English regulations, administrative English training) to strengthen the capabilities of dedicated staff, in alignment with annual KPIs of the Higher Education Sprout Project.

  5. Arrange courses and oversee visits for industry-academia collaboration international programs.

  6. Serve as a mentor and provide campus life support for international students.

  7. Maintain and manage the Office of International Affairs website.

  8. Track employment matching for students in industry-academia collaboration international programs.

  9. Organize activities, training, and forums for international students (including orientation, graduate forums, employment matching events, graduation activities, and holiday events).

  10. Conduct midterm and final meetings each semester for Taiwanese and international mentors in international programs.

  11. Consolidate follow-up data for international student graduates.
